You might have heard of all of these benefits of social media before, but running a small business is demanding, and finding the time to create or curate all of this content can be overwhelming. Small business owners wear many hats, and that leaves little time at the end of the day to manage social media.

In the past, coming up with fresh and relevant content every day was really challenging. It used to be a struggle to keep the posts varied and interesting, which is essential for maintaining your audience's attention.

Even with the best intentions for social media, without a structured approach, interruptions or unexpected tasks can leave gaps in your social media presence and can really reduce the effectiveness of your social media strategy.

While we acknowledge the potential benefits of social media, crafting engaging posts and effectively combining images, weather updates, and local events—and mixing it with marketing, graphic design, and copywriting skills—gets to be overwhelming.

Introducing an Automated Solution to Simplify Social Media Management

Managing posting onto multiple different platforms, and the specific requirements for each platform, is challenging unless you're a professional.

And those costs are expensive.

In this section of the video, I'm going to show you an example project and some of the sample content that we're creating from this.

But before I do that, I want to scroll back to a video that I created a while back because most of what I'm following here is explained in that video.

I'm starting X from scratch—it's only got 49 views, but this is the basis. It's got all four components that I'm using in all of this promotion. Open up that video and save it for later, and then let's dig in.

So let me show you the results, and then I'll show you inside to show you how it works.

Real-World Examples of Automated Social Media Posts

Here are the results.

Here's the tweet from today where it's mixing beautiful weather ahead, perfect for fishing adventures on a specific lake. Black crappie fishing in June—it may be crappie, I may be mispronouncing that. Guests love the challenge in the road, and there's our hashtag, Minnow Master's Lodge, an imaginary lodge somewhere fabled to be in Lake of the Woods.

Now, if we go to Facebook, here's the same post, and it has more information where the automation has added more detail about the weather, a more specific location, and a couple more different hashtags that it puts out along with the image. If we scroll down, we see a post from a day ago, and if we scroll down more, we see a post from two days ago. As we scroll down further, we see different pictures, and all of these have expanded stories mixed into them.

Now that we've seen the results, let's see how this actually works.

Here's the flow of the automation:

  • the automation grabs the weather from two different Weather Canada sources,

  • gets all of our information from the spreadsheet, and

  • uploads our image.

  • Then, GPT creates a Twitter post and uploads the image.

  • ChatGPT takes our information, formats it for a Facebook post, and adds our image.

  • Everything is put into a spreadsheet so that we can access it later to reuse this content.

How the Automation Process Works

Here's the spreadsheet behind the whole machine.

We've already got a rough draft post ready for the entire year. Here are the posts that we have been putting online.

Each time it does a post, I'm adjusting, going back, and tweaking things so that I'm improving the way the posts are laid out, and the formatting and the wording of the posts as we go along.

I did a detailed video on how I set this whole thing up, and there's a link up along the top if you want to go through this and learn it for yourself.

Our spreadsheet has three main pieces of content.

  1. We have local events that we could gather from anything in the region,

  2. we have our lodge update—whatever is going on in our lodge that day—and

  3. we have a third column that includes the image that we intend to upload for that post.

The automation grabs the weather here from two different sources, then it grabs the information from our spreadsheet, and then it uploads the image for us.

The Power of Custom Commands in Social Media Automation

This is where the real power of the automation comes in because the artificial intelligence can be taught everything about your business, including the hashtags that you want to feature, local landmarks, lakes, towns, as well as specific holiday adventures, fish species, and what have you that you might feature.

The second command in the automation is really important because we give the assistant the examples of how we want the posts to be formatted, both for Twitter and later for Facebook.

Finally, the third part of this prompt is the command to put everything together in the structure that we want, in the format and layout that we want.

In the first part of this automation, our image is uploaded to Twitter, and it's posted to Twitter. Everything is saved inside the Google Sheet so that we can take the best examples and go back and train the AI to do better.

The second part of this automation is for Facebook, and it's much the same.

  1. We have the system command to tell it everything about the business,

  2. we have the assistant command which gives it examples of how we want the post, and then

  3. we have the actual prompt which tells it to go ahead and make it in the format that we want.

This is uploaded to our page on Facebook, and those results are also saved to our spreadsheet so that we can refer to those later.

So here's the daily routine, completely automated and tested out.

We can see and watch it working, and it's fantastic to watch the weather reports coming out here and actually see the weather is what it's saying is coming out.
